First be sure to follow standard letter forms, such as putting your return address and contact information at the top of the left hand corner of the page. Then, go down two lines and put the date with the year. Go down four more lines and put the name of the magazine and the address for it. Once that is done, go down two spaces and put your salutation (Dear Ms. Marks or Dear Submissions Editor, etc.). Now you are ready to begin the body of your letter. PARAGRAPH 1 I usually start out by saying I am submitting my story (or article or poem) "Name of written piece" for your consideration. This story/article/poem is approximately 100 words long and is intended for an audience of ____ to ____ years old. Then I usually tell them where I got the idea from and what makes my article unique. Remember, lots of people are submitting stories and articles and you have to make yours stand out in some way (by this I DON'T mean typing it on bright paper or using lots of coloured fonts)! Be sure to use white paper and black ink. PARAGRAPH 2 If you have gotten any other pieces of writing published mention them in your letter and say where these pieces appeared (the magazine and issue number) and you should also mention any special qualifications or experiences you have that makes you the ideal person to write this story or article. PARAGRAPH 3 Now, you are going to end your letter by saying something like this I hope you will find this story (or article or poem) of interest to your magazine and I look forward to hearing from you. Thank you for your time. I have enclosed a self-addressed stamped envelope for your reply. Sincerely, Your Name
REMEMBER, you need to include a self-addressed stamped envelope if you want your story or article back from the publisher if he/she decides not to use it. If you are submitting your piece to a publisher outside of Canada, you will need to go to the post office and get an international reply coupon or use stamps from that country. In other words, you can't put Canadian stamps on a letter being mailed to Canada from the US. Canadian stamps are only able to be used on mail coming from Canada and going elsewhere.
The purpose of a query letter is to tell a publisher why your story or article idea is appropriate for their magazine. You are also trying to sell yourself as the writer, so be sure to tell them why you should be the one to write it. You do not send a copy of your complete manuscript with a query letter. You send only just the first hundred words or so to give them a sense of what the finished piece would be like. This letter should be short and to the point and you should have an awareness of what that particular magazine looks for in a story or article. In other words, familiarize yourself with that magazine by reading several issues and take note of the topics they cover and the styles of writing that that particular magazine tends to use. Set up the query letter the same way you would any letter (see covering letter for an example) and start your opening paragraph with something that will grab the publisher's interest. For example, when I was trying to get my "Snack with a Twist" article published I wrote a query letter that started like this Did you know that the pretzel is possibly the oldest snack food in the world? It was originally created in a monastery almost 1400 years ago and has since been used as a symbol of good luck, even appearing in wedding ceremonies. The pretzel also appears on the "baker's emblem", a coat of arms presented to pretzel makers by the Viennese king for their role in saving Vienna from a Turkish attack. This opening paragraph relayed lots of little facts about the pretzel that most people wouldn't know and it hopefully arouses their curiosity. Then your second paragraph could be similar to your first in a covering letter. You would propose a title for your piece and an approximate length. You would indicate the intended audience and why children/ people of that age would enjoy this piece. Finally, your third paragraph would look something like this I have enclosed a possible beginning paragraph for this article (or story) and I hope you will find this proposal of interest to your magazine. I look forward to hearing from you. Thank you for your time. I have enclosed a self-addressed stamped envelope for your convenience. Sincerely, Your name
SAMPLE WRITING PIECE This is simply the beginning page of your story or article up to about the first 100 words. The lay out for the article or story is exactly the same as it is when sending a complete manuscript.
Finally, remember to be patient. Some of these publishers receive upwards to 100 submission per month, especially if the magazine is well known like OWL. It can take anywhere from a few weeks to six months before you hear back from them. It is not usually advisable to call the publisher wondering why you haven't heard from them!
