Dear
coaches/advisors,
Again this
season all entries for the NSSAF Halifax City District track meet must be
entered into a web-based computer database.
Each school will be responsible for entering their own athletes.
The initial due date for entries is Thursday May 10th at 7pm.
As usual, I will do a check of entries on Thursday night to pick up any major
errors and will get in touch with schools via email regarding these errors.
Schools then make corrections before the final deadline of
Saturday May 12th at noon. Please adjust your team selection
procedures in order to meet these timelines but call me if you are desperate!
Remember- still only 3 field athletes but
an increase to 4 track athletes.
Wheelchair
100m entries do not need to be done
before the meet and will be made at the starting line of the event with the
clerk of the course. Special Athlete
entries do need to be done online
again this year so please ensure you coordinate with your EPA staff early

When
you know your entries, go to

NSSAF page

and click the link for the Track and
Field information page.

At
the top of the track and field information page, click on a link for
Registration.

Select your district meet by clicking
Capital (County) and then again, click
Registration.
5)
You
are now on a screen asking for your School and Password. Enter the school
abbreviation (NSSAF abbreviation) and the password specific to your school.

Click Submit.

You
are now on the entry section for your school and can begin entering athletes.
I would suggest working from your hand written sheets and begin by entering an athletes name in the box. Please use capital letters on the first letter of the given and surname only (as in Jason Murphy: do not use all caps). Next, select the classification by using the tick boxes and then select the events the athlete will compete in by ticking the boxes next to the event. When satisfied you are correct, submit this athlete by clicking submit. You can now move on to the next athlete. Note that it shows your last athlete entered.

To enter your relay teams
select register relays from the main entry screen and simply
tick the box of all the relays your school will be entering.
1 relay team per relay/per class/per gender.

To see the athletes you have
entered, click on check athletes. Once on this screen you will see
how to correct some mistakes you have made and get a list of the athletes and
the events they are in. See more on how to correct mistakes and print this list
below.

It does not matter what order
you enter the athletes. It would be wise however to keep track of the athletes
you have entered. Also, the program saves in real time, meaning that you do
not need to save it. It saves on
the NSSAF database as you enter them. At any time you can quit entering data,
close it and then log in at another time and continue entering athletes. Nothing
will be completely final until I download the files for the second time
(Saturday May 12th at noon). At that point changes will only be
accepted at the meet and limited to 5 changes per day per school. Please note
that after noon hour on Saturday, the online entry database will still accept
entries, but I will not get them or put
them into the meet. I save a file from the site, clean it up a bit Saturday
afternoon and then use this file in a completely different program most of
Saturday/Sunday to create heats and lanes.
1)
At
anytime while on the check athletes screen you can select
File>Print from the menu at the top left of your screen to print everything
you have done so far. You could also
try ctrl>print screen keys held together on the keyboard.
2)
I
would suggest printing your final list and posting it for your athletes to check
for errors before the deadline. If you made any mistakes, you can then
correct them before the final deadline. Kids will pick up the mistakes much
faster than you will!
1)
To
correct a mistake for an athlete, go to the check athletes screen.
2)
Type
in the name of the problem athlete in the athlete name box.
You will delete the athlete from all events by typing a
percent sign (%) in the event box, making sure their
classification is correct (matches what you put in before) and by then
clicking on delete when satisfied.
3)
You
now must re-enter the athlete from scratch. While there are slightly shorter
ways, but believe me, this is the safest method to make any changes to any
athlete (spelling, event, classification, ect.) Spelling an athlete two
different ways will seem like 2 separate people, as will putting the athlete in
2 different classifications.
